Guidance for staff

What to do if you have a Safeguarding Concern

If you see or hear something that doesn’t feel right, don’t ignore it. You don’t need to be sure – if you’re worried about someone’s safety or wellbeing in a learning environment, speak up.

The process is simple and supportive. Just follow these three steps:

Step 1: Receive and take notes

Listen calmly and carefully. Avoid showing shock or disbelief.

Take what the person says seriously and don’t interrupt.

Make a brief note of what was said as soon as you can.

Use prompts like:

“Tell me…”
“Explain to me…”
“Describe to me…”

Step 2: Reassure and Listen

Stay supportive. Reassure the person without making promises you can’t keep (e.g. confidentiality or outcomes).

You could say:

“I believe you”
“I’m glad you told me”
“We’ll work together to get help”

Step 3: Respond and report

  • Share your notes and concern with the Senior Learning & Development Manager on duty (ask at the L&D reception for the named contact).
  • Don’t ask for detailed information, and avoid leading questions.
  • Be clear about what happens next and who will be involved.
